Major,
I'm sure that a moments rational thought about the logistics of organising an event such as the Convivial will make it plain to all that there is only so much space in any given venue and that when it is full, it is full.
That additional traders are interested in taking sales space is an encouraging sign and should be welcomed but the practical limits are unavoidable. You are doing all that you can to ensure the event is a good one and that includes setting boundaries to ambition so that the features of the weekend are each given proper planning time get them right. It would be too easy to keep going for expansion after expansion but the result would be that critical details would get left undone and the event would be less good in consequence.
I, for one, know the sort of project management skills required for event organisation on this scale and I'm pretty sure that you posses them. One is the ability to say a polite but definitive no.
I'm also aware that 'creatives' are huge enthusiasts and can sometimes be less than tactful in their demands. requests.
Being occasionally irritated is part of the lot of the facilitator (don't I know it!!) I reckon you're able to handle it.
I have no fears on any of these counts.
Though I do worry about the state your liver is going to be in at the close of the weekend.
Dr. Q.

I say Llrael that was quick - you had posted you were attending before notification of your booking had reached us! Very happy to have you along and I look forward to welcoming you to the Asylum. (So what are you planning to wear?)
Dr Q, the voice of reason as ever. I apologise to everyone for my obvious ill temper. I don't like having to say no but sometimes it is unavoidable. I am still trying to expand the Bazaar Eclectica as I have said since I think it will be to the benefit of the event and the public face of Steampunk if we can make part of it open to the public to peruse free of charge.
As for the state of my liver - I am not sure I will be able to find the time to take a nip or two with all of my friends at the event although I sincerely hope I will be able to. Sometimes I wish it were September already but there is so much work yet to do...

I will try my utmost but we do already have a waiting list of potential traders and they do want a bigger pitch than our basic set up which means in effect I have to exclude two others in order to include them. (Oh the trials of trying to be fair, open and honest!) Changing tack slightly - My personal opinion and not something which has as yet been accepted as policy is that traders at The Asylum and subsequent events should ideally be fellow steampunks and not just traders who see a ripe market. (The exception to this rule would be merchants we have specifically invited to try and inform them of the existence of steampunk e.g. our tea merchant). I would like to see traders getting invloved in the rest of the event etc and I have been disappointed to find one or two just want to attend the trade part of the Saturday and not be involved or contribute anywhere else. As many of you know I do trade myself but I hope people accept that I consider myself a steampunk first and my trading is an adjunct to that and I am not a trader who just wants to hit the steampunk market. I invite comments on this topic. For the sake of clarity this is not aimed at Impero so I really should have made it two posts but I don't want to be post whoring now do I. Tinker I agree, we dont just want traders who see SP as a way of making money, Get involved please regards Vampyre

Why, thank you! I r speedy ninja... At the moment, I haven't a clue about attire, as I've only just got into this thing and my steamy wardrobe is virtually non-existent. At the moment I'm thinking a frilly blouse-long skirt combo, but it'll all depend on what I can buy or sew in the meantime! I want a tool belt... with miniature tools for the engineering lady on the go.

Dealers/traders space always books out early at SF Conventions, and generally like the Asylum we tend to prefer tables run by established fans, as you can catch up with old friends whilst inspecting their wares. It generates a nice civilised atmosphere. We do have the occasional purely merchantile operation taking place but this is usually part of the programme and not part of dealers/traders. You would get a book or product launch for example with the author signing and selling books, giving a reading and putting out free wine for example, or directly sponsor one of the major items. Forbidden Planet sponsored a Rock Band competition at Eastercon this year, providing equipment and prizes.
Now if Alchemy or some other commercial enterprise wanted to do something similar in the Programme to promote their Steampunk range, I am sure it could be accomodated in Programme, but for anyone feeling left out, there will be other Asylums and other Steampunk Convivials! Of course if you organise your own Convivial you are entitled to prioritise the list of dealers/traders.

Sirs,
1. Memberships may be obtained from http:steampunk.sythasite.com/
2. Anyone can become a Member of the Convivial, you do not have to be a member of this or any other steampunk forum, club, association etc. There is an upper limit of 450 Members, so it is first come first served, but newcomers to steampunk, or persons from related fields of interest such as chaps, SF fans, neo Victorians and goths who are wondering whether there may be colours other than black are all especially welcome, with a missionary zeal.
3. I am afraid guineas are not accepted by Paypal, I know horrifying isn't it. Pounds sterling is however more than acceptable.
As we are getting this type of request quite frequently, I am going to suggest to the powers that be on Brass Goggles that a Convivial link from the main website homepage be set up for this and other Convivials such as those held in the former colonies.

It would appear that I must sadly now miss this event. I doubt I'll have appropriate funds in time, and I can't get the Sunday off work. I have been doubly thwarted .

Very nice to see you again Lady Sakara, I hope you are well. I have added a news feature to the main website at http://steampunk.synthasite.com If you could repeat some of that it would be much appreciated. I am currently sorting out the ents lineup - we have another act or two to add. I am hoping to add another author or maybe two to the lineup. I am trying to secure a location for the bazaar eclectica to exp-and and be open on both days with free entry to the public for the bazaar only. THis is subject to satisfactory discussions with the council. Regards Tinker

Again Tinker if you need a hand with the Council just ask. I am glad you are seeking to expand the Bazaar, there is considerable demand. The problem with opening it to the public is that it might be construed as a market, and may be in contravention of the local market charter, byelaws etc. Pease & Chitty on Markets and Fairs is the authoritative tome on this, and the whole law in this area is wonderfully mediaevel. Keeping it purely for members of the Convivial steps around all of these concerns, but buggers up being able to involve the wider public. You would have the established market traders complaining, especially as it is Council land. If it wasn't Council land you might get away with it.
However a lot of very old Charters did not include Markets on Sundays at all, (Bridlington's springs to mind) so that enforcement was only limited to market days Mon-Sat. Lincoln would almost certainly be a Charter Market rather than a statutory market under the 1954 Act (due to the Cathedral) so this may be a way around it.

Well, I got a message back from Mr B:
"Hello there Rosemary my dear. This all sounds rather wonderful, I'm rather afraid I shan't be around for the do. I'm playing in Cornwall the evening before and will have to travel back to my summer residence in Hove befroe I can get anywhere else, so I fear I simply won't have the time to make it to Lincoln. What a rum old state of affairs and no mistake! Such a shame as I will have been delighted to have popped along and played a few ditties for our country's splendid SPs! If anything changes I shall let you know post haste. In the meantime I can only apologise and curse this bad timing. Bon chance and all that. Pip-pip! B x"

Well it seems the Asylum has had a bit of a plug in the NME. A few people have posted up a jpg of the page but the text is too tiny to read clearly. I'm just off out now to see if I can find a copy but if anybody's already got it, could they type up the text of it here? It's part of a feature called '10 things to do this summer' and steampunk, generally, is at number five.
